Understanding OneDrive Storage Plans and What's Included
OneDrive is Microsoft's cloud storage service that lets you store files online instead of only on your computer or phone. When you create a Microsoft account, you receive 5 GB of free storage space automatically. This storage comes with your account at no cost and does not require any special registration or paperwork.

The 5 GB of free storage works across all your devices. If you upload a file from your computer, you can view and edit that same file from your phone, tablet, or another computer. This means your files are available wherever you have internet access. The storage space is shared across OneDrive, Outlook email attachments, and photos in Microsoft's photo library, so the total combined cannot exceed 5 GB unless you add more storage.
Microsoft also offers paid storage plans if you need more space. These plans range from 100 GB for a small monthly fee to 1 TB (1,000 GB) for Microsoft 365 subscribers. Understanding these different options helps you determine what storage amount might work for your situation. Many people find that 5 GB covers their basic needs for documents, spreadsheets, and a modest number of photos. Others who store videos, large design files, or extensive photo collections may want to explore larger storage options.
The free 5 GB storage plan has been available for several years and remains part of Microsoft's standard account offering. This means you do not need to pay or take additional steps to receive this initial storage allocation—it comes with creating a Microsoft account.
Practical Takeaway: Check your current storage usage by signing into your OneDrive account and looking at the storage indicator at the bottom of the page. This shows you how much space you are currently using and how much remains available from your 5 GB allocation.
How to Set Up Your OneDrive Account
Setting up OneDrive begins with having a Microsoft account. If you use Windows, have an Xbox, or use Outlook email, you likely already have a Microsoft account. If you do not have one, you can create an account at the Microsoft website by providing an email address and creating a password. The account creation process takes just a few minutes and is free.

Once you have a Microsoft account, OneDrive is automatically available to you. You do not need to install anything special or complete additional steps to receive your 5 GB of free storage. Simply sign in to OneDrive at onedrive.live.com using your Microsoft account credentials. You will see your OneDrive folder, which is currently empty if this is your first time accessing it.
If you use a Windows computer, OneDrive is often already installed as part of your operating system. On Windows 10 and Windows 11, you can open OneDrive by clicking the Windows logo and typing "OneDrive," then opening the application. If you use a Mac, you can download the OneDrive app from the Mac App Store. For phones and tablets, OneDrive apps are available through the Apple App Store for iPhones and iPads, or through the Google Play Store for Android devices.
After opening OneDrive on your device, you may see a prompt to sign in with your Microsoft account. Enter your email address and password, and the app will connect to your OneDrive storage. On computer versions, you may see a folder called "OneDrive" appear in your file system, which you can use just like any other folder on your device.
Some people choose to keep the OneDrive app running on their computer so that files sync automatically between their device and the cloud. This means when you save a file to your OneDrive folder on your computer, it uploads to the internet automatically, and you can access it from your phone or another computer. You can also turn off this automatic syncing in the app settings if you prefer to upload files manually.
Practical Takeaway: Go to onedrive.live.com right now and sign in with your Microsoft account. Take a screenshot of the storage bar at the bottom to see your current usage, then return to this guide to learn how to organize and use your storage space.
Organizing and Managing Your Free Storage Space
Once you have your OneDrive account set up, organizing your files will help you locate them later and make the most of your 5 GB of storage. The basic way to organize files in OneDrive is through folders, just like you might organize files in a filing cabinet. You can create new folders by right-clicking in an empty area of OneDrive and selecting "New Folder," then giving it a name.

Common folder structures that people use include organizing by category (such as "Documents," "Photos," "Receipts," "Resumes"), by year (such as "2023," "2024," "2025"), or by project (such as "Home Renovation," "Tax Documents," "Work Projects"). The best organization method depends on how you use your files and what makes sense to you. Some people prefer a simple structure with just a few folders, while others create multiple levels of subfolders.
When you upload files to OneDrive, you can drag and drop them directly into the website, or use the "Upload" button to browse your computer for files. If you are using the OneDrive app on your computer, you can also drag files directly into your OneDrive folder just as you would move them between any folders. Files upload in the background, and you receive a notification when the upload is complete.
Monitoring your storage usage helps you understand how much space you have left. The storage indicator at the bottom of the OneDrive website shows a bar displaying used and available space. If you see that you are using most of your 5 GB, you have several options: delete files you no longer need, move old files to an external hard drive or USB drive, or explore paid storage plans if you want to keep everything. Knowing which files take up the most space helps you make these decisions. Photos and videos typically use more storage than text documents or spreadsheets.
OneDrive also includes a "Recycle Bin" feature similar to your computer's trash folder. If you delete a file by mistake, it goes to the Recycle Bin first and stays there for 93 days before being permanently deleted. This gives you time to recover files if you change your mind.
Practical Takeaway: Create three folders in your OneDrive today: one for important documents, one for photos, and one for a current project you are working on. Practice uploading a few files to each folder to understand how the system works.
Sharing Files and Collaborating With Others
One major advantage of storing files in OneDrive is the ability to share them with other people. Instead of sending large file attachments through email, you can share a link to your OneDrive files. This is especially useful when working with others on the same project or when you want to let family members view photos without emailing individual pictures.

To share a file or folder from OneDrive, right-click on it and select "Share." You will see options to share the file with specific people by entering their email addresses, or to create a link that you can send to anyone. When you share with specific people, you can choose whether they can only view the file or whether they can also edit it. If you allow editing, multiple people can work on the same document at the same time, and everyone sees the changes instantly.
Sharing a link is simpler if you want to share with many people or if you do not know the recipient's email address. You can create a link that anyone with the link can view, or you can restrict it so only people you specify can access it. You can also set a date when the link expires, after which no one can access the shared file anymore. This is useful if you are sharing sensitive information that you want to stop being accessible after a certain date.
OneDrive integrates with Microsoft Office applications like Word, Excel, and PowerPoint. When you create or edit documents in these programs through OneDrive, you can see who else is viewing or editing the document in real time. This is different from emailing a document back and forth, where it is unclear who has the most recent version. With OneDrive, there is only one version, and everyone is working on the same file.
If someone shares a file with you through OneDrive, you do not need your own OneDrive storage space to view or edit it. The person who shared the file owns it and uses their storage space. If they give you editing permissions, you can make changes that they will see. This makes OneDrive useful for group
